Adding Your Logo To A Signature In Outlook

So, you finally have a great looking logo. Start using it! Sure, business cards, websites, brochures, and the occasional give-a-way pen is important - but don't forget your email signature! Here's the skinny, we're a branding company, and if you're an active business, you're going to have a lot of emails flying out of your office. Let's look at some options for adding an email signature:

Insert An Image Into My Signature

You can easily place your logo directly into the signature via the built in Signature Editor:

  1. In Outlook 2003 and older versions:
    Once you're inside the signature editor, right click on the location where you want your logo to be placed and select - "Insert Image".
  2. In Outlook 2007 and 2010:
    In the Signature Editor, click the image icon (between the link and business card icons), then select insert image.

WAIT!!!! So, here's the catch to doing this. You're logo will look great, until a recipient views your email, or replies to it with a Plain Text email. Now, not only is your logo gone, but you don't even have your company name. Let's quickly get around this little quirk:

Unfortunately, this still isn't a function Outlook has been given, so we'll have to do it manually. Back out of the Signature Editor, the click on the "Singatures..." button from the Mail Format tab once more, but this time press and hold CTRL before you click it. This opens up the Signature Folder. From here, find the title of the saved signature you want to resolve the issue with. There will be an HTML, RTF, and a TXT file. Here's what you're going to do:

  1. Open the TXT file and find the "blank" spot where the image should appear, but isn't displayed because it's Plain Text . Now manually type in name of your logo/company.
  2. You can also open up the HTML document and to a CTRL + F and find the HTML img tag (you can search for "" and "width=", insert the following tags:
    1. alt="The Name of Your Business"
    2. title="The Name of Your Business"

Save these files and close them out! You're now ready to send and receive emails from clients with your branding displayed proudly in your signature!
